Belgium Apostille for Documents Issued in India

A Belgium apostille is now the normal way to make an Indian degree, birth certificate or company paper valid in Belgium. The Apostille is issued by the Ministry of External Affairs (MEA) in New Delhi after the document is verified by the right state office or Chamber of Commerce. There was a period when this did not work, and that history still confuses people.

Quick answer

Does Belgium accept an Indian Apostille? Yes. Belgium objected when India joined the Apostille Convention in 2005, but it withdrew that objection in 2008. Since then a Belgium apostille issued by MEA in India is accepted without any embassy legalization. You still need the state or chamber verification first, and Belgian offices usually want a translation into Dutch, French or German.

Why Older Advice Says Belgium Needs the Embassy

When India joined the Hague Apostille Convention on 14 July 2005, a few states objected to India's accession. Belgium was one of them. An objection means the Apostille does not work between those two countries, so for a time Indian papers for Belgium went through MEA attestation and then the Belgian Embassy.

Belgium withdrew its objection in 2008. Many old blog posts and some agents never updated their pages. If someone tells you that a Belgian embassy stamp is required on a personal or educational paper, ask them to check again. The MEA Apostille is the final step in India.

Three Languages, One Apostille

Belgium has Dutch, French and German language areas. The commune or office you deal with decides which language it wants. A file for Antwerp or Ghent usually needs Dutch. Brussels offices may accept French or Dutch. A small area in the east works in German.

Belgian offices often expect a translation by a sworn translator. Some accept a translation made in India and apostilled, others prefer a translator registered in Belgium. Ask before ordering. Our translation team can prepare French, Dutch or German versions.

Belgium Apostille Process From India

  1. Educational papers: state HRD or education department verification, or notary and SDM where the state allows it.
  2. Birth, marriage and police papers: state Home or General Administration department, or SDM.
  3. Company papers: notary where needed, then a recognised Chamber of Commerce.
  4. MEA Apostille at an authorised outsourced centre in New Delhi.

That is the end of the chain in India. Nothing further is stamped by the Belgian Embassy.

Students, Spouses and Business Files

Students applying to Belgian universities may be asked for apostilled degree certificates and mark sheets. Family reunification files rely on birth and marriage certificates. Workers may need experience letters and a police clearance.

Exporters selling to Belgian buyers sometimes need an apostilled certificate of incorporation, power of attorney or certificate of origin. Antwerp is a major port, so freight and trading firms appear often in our files.

Checklist Before You Courier

  • Original certificates, unlaminated
  • Passport copy of the document holder
  • Note of the Belgian city and office, so we can advise on the language
  • For companies, an authorisation letter on letterhead

Police Clearance and Work Files

Belgian employers and regional authorities handling single permits may ask for a police clearance certificate. For Indian citizens this is usually the passport office PCC, which can be apostilled by MEA once it is issued. A state police certificate goes through the state Home department before MEA. Our PCC page explains both kinds.

Experience letters and salary slips are private papers. They need a notary stamp and sometimes a state step before MEA will apostille them. Make sure each letter is on letterhead with a named signatory and the company seal.

How Long a Belgium Apostille Stays Useful

The Apostille itself has no expiry date. The Belgian office, though, may want the underlying document to be recent. Birth and marriage extracts and police certificates are often expected to be issued within a few months of your application. Check the office's rule before you apostille an old copy, because a fresh certificate would need a fresh Belgium apostille.

Keep a scan of every apostilled paper. If a Belgian office later asks to see the original, you will know exactly which sticker number belongs to which document.

Mistakes That Cost Time

  • Paying for Belgian Embassy legalization that is not needed.
  • Translating into French when the commune works in Dutch.
  • Degrees from a university in one state verified by the wrong state office.
  • A marriage certificate that is a church or temple record and not the registrar's certificate.
