Japan Apostille for Documents from India

Japan has been an Apostille Convention member for decades, and since India joined in 2005 a Japan apostille issued by the Ministry of External Affairs is the accepted way to prove an Indian public document. City offices, immigration bureaus, family courts and Japanese companies all rely on it.

Quick answer

What do Japanese offices need on an Indian certificate? They generally need the MEA apostille on the Indian original plus a Japanese translation. The document is first verified in India by the state department, SDM or Chamber of Commerce, and then MEA adds the Japan apostille. The Japanese embassy in New Delhi does not legalize it afterwards. Many offices accept a translation signed by the translator.

Registering a marriage or birth at a Japanese city office

One of the most common reasons Indians need papers in Japan is family registration. An Indian national marrying in Japan, or registering a child born there, deals with the local city or ward office. The office usually asks for proof of identity, nationality and marital status, and for documents from India it often expects an apostille.

Requirements vary between city offices, and some ask for documents that India does not issue in the same form, such as a certificate of legal capacity to marry. In such cases an Indian affidavit or embassy-issued document may be accepted instead. Ask the city office exactly what it wants, then send us that list.

The Japan apostille route from India

  1. Verification by the state Home or GAD department, or SDM in Delhi, for birth and marriage certificates; by the state education department for degrees; by a Chamber of Commerce for company papers.
  2. Notary for affidavits and powers of attorney.
  3. MEA apostille.
  4. Japanese translation, usually attached in Japan.

How Japanese translations are handled

Japanese government offices commonly ask for a Japanese translation of every foreign-language page, including the apostille. In many cases the translation does not need to be done by a sworn translator. It is enough for the translator to state their name and sign it. Some offices or courts may set stricter rules, so check before you start.

If you want the translation done in India, our translation service can arrange it after MEA has issued the apostille.

Work, study and residence

For work visas and university admission, Japanese institutions often accept degrees with simple certified copies or verification letters. An apostille is asked for less often than in family matters, but some employers and professional bodies do want one. Follow the instructions of the institution or your sponsor in Japan.

Indian companies doing business in Japan

Indian companies opening a branch or subsidiary in Japan, or registering as a supplier, may be asked by the Legal Affairs Bureau, a bank or a Japanese partner for apostilled corporate documents. These often include the certificate of incorporation, articles of association, a board resolution and a signature or seal declaration for directors.

Japan relies heavily on seal and signature certificates. Indian directors usually provide a notarised signature affidavit instead. All of these pass through a Chamber of Commerce before MEA. See our commercial documents page for the chamber step.

Japan apostille for exporters

Japanese buyers are known for careful supplier checks. When a Japanese importer onboards an Indian manufacturer of food products, chemicals, textiles or engineering goods, it may ask for apostilled registration papers. These can include the certificate of incorporation, GST certificate, IEC, a free sale certificate and quality or GMP certificates.

Trade documents such as invoices and a certificate of origin usually move through customs and banking channels without an apostille, but a buyer can still request one for a specific contract. Each company document goes through a Chamber of Commerce and then MEA. Keep the company name and address exactly the same on every paper, since Japanese partners notice small differences.

Errors that delay Japanese filings

  • Translating only the certificate and not the apostille page.
  • Name order differences. Japanese forms often list the family name first, while Indian documents may not. Keep spellings identical.
  • Using an expired or old marital status affidavit.
  • Asking the Japanese embassy to stamp apostilled papers.

Questions

Japan FAQs

Does the Japanese embassy in New Delhi attest Indian documents?

For documents going to Japan, the MEA apostille replaces embassy legalization.

Can I translate the documents into Japanese myself?

Many Japanese offices accept a translation signed by the translator, which may be the applicant. Check with the office that will receive it.

Is an apostille needed for a Japanese work visa?

Often not. Visa sponsors usually set the rules. Some employers still ask for an apostilled degree.

What is a certificate of legal capacity to marry for Indians?

India has no single standard form. City offices often accept a notarised and apostilled single status affidavit or a document from the Indian mission. Ask the city office.

Can you apostille a director's signature affidavit for a Japanese company registration?

Yes. It is notarised, authenticated where needed, and apostilled by MEA.

How many copies should I apostille for Japan?

MEA apostilles each document separately. If both a city office and an employer need originals, consider getting two certified documents from the issuer and apostilling both.
