Netherlands Apostille: Indian Documents for Dutch Municipalities and the IND
Some older advice still tells people to take Indian documents to the Dutch Embassy. That advice dates from before 2008, when the Netherlands withdrew its objection to India's accession to the Apostille Convention. Since then, a Netherlands apostille from India's Ministry of External Affairs (MEA) has been the standard way to make an Indian document valid for Dutch authorities.

Documents from India for Netherlands
What do I need to register my Indian birth certificate in the Netherlands? Municipalities and the IND usually ask for an Indian birth or marriage certificate carrying a Netherlands apostille. The state home or GAD department authenticates the certificate first, then the MEA adds the Apostille. Certificates in English are often accepted as they are; documents in Hindi or a regional language generally need a translation by a sworn translator.
Why Older Advice Mentions the Dutch Embassy
When India joined the Apostille Convention in 2005, the Netherlands objected to India's accession. For a few years the convention did not apply between the two countries, and Indian documents had to be legalized through the embassy. The Netherlands withdrew that objection in 2008.
Today the Netherlands apostille issued by the MEA replaces embassy legalization. If someone asks you for a Dutch Embassy stamp on an Indian certificate, check whether they are working from outdated guidance.

Registering With a Dutch Municipality
People moving to the Netherlands for work register in the Personal Records Database through their municipality. Municipalities often ask for a legalized birth certificate, and a marriage certificate if a spouse is coming along. These records are used for years afterwards, so the details need to be correct.
Use a registrar-issued certificate with the full name exactly as in the passport. A birth certificate apostille is far simpler when the name and parents' names already match the passport.
Getting a Netherlands Apostille in India
- The state home or GAD department, or a notary and SDM, authenticates civil documents. Degrees go to the state education department. Company papers go to a Chamber of Commerce.
- The MEA checks that authentication and adds the Apostille through its authorised centre.
The Indian process ends there. See our MEA Apostille guide for how the MEA stage works.
Language and Translation
Dutch authorities have generally accepted documents written in English. Most Indian civil and education certificates are already in English, so many clients need no translation at all. A certificate in Hindi, Marathi, Tamil or another Indian language usually needs a translation by a sworn translator. Ask the receiving office which translators it accepts. We can arrange a certified translation where one is allowed.
Work, Study and Business
Highly skilled migrants and their families are a large share of Dutch requests. Employers may ask for apostilled degrees, and the spouse's file needs the marriage certificate. Students may need degrees and transcripts for some programmes. Indian companies opening a Dutch entity may need apostilled corporate papers, which start at a Chamber of Commerce.
Exporters supplying Dutch importers, who often re-ship goods across Europe through Rotterdam, may be asked for an apostilled certificate of origin, free sale certificate or power of attorney. See commercial document attestation for the chamber step.
Name Formats and Dutch Records
Dutch records split a name into given names and a surname. Many Indian documents use a single name, an initial, or a father's name in place of a surname. Municipalities sometimes ask how the name on the birth certificate relates to the passport. A short affidavit, apostilled along with the certificate, can explain this before a question arises.
Married women whose passport shows a married name should keep the marriage certificate ready too. It links the two names on paper.
