Ukraine Apostille: Indian Papers for Study, Family and Trade

A Ukraine apostille from the Ministry of External Affairs (MEA) lets an Indian document be used in Ukraine without any embassy stamp. Ukraine is a party to the Hague Apostille Convention. Many of our Ukraine clients are medical students and their families, and their needs have changed a lot in recent years.

Quick answer

Is an MEA Apostille enough for Ukraine? Yes. A Ukraine apostille from the MEA is the final step in India. Papers are first verified by the state education department, the state home department, a notary and SDM, or a Chamber of Commerce. After the Apostille, Ukrainian offices normally want a translation into Ukrainian, often certified by a notary in Ukraine.

Students, Transfers and Changing Plans

Before 2022, Ukraine was one of the main destinations for Indian medical students. Many had to leave and later moved to universities in other countries, or returned to India. That created a new kind of paperwork. Students now ask for Indian school papers to be apostilled again for a transfer, or for papers to support studies resuming in Ukraine.

Whatever your situation, the first step is to get the receiving university's written list. Then we apostille only what it needs.

Ukraine Apostille Steps

  1. School certificates and mark sheets are verified as the MEA requires, usually through the state education department for state board papers.
  2. Birth certificates and affidavits go through the state home department or a notary and SDM.
  3. The MEA fixes the Apostille.
  4. You receive the documents by tracked courier.

Read our MEA Apostille guide for what the sticker certifies.

Powers of attorney and affidavits are signed before a notary in India first. If you are already abroad, you can sign a power of attorney at an Indian mission there instead, and that paper follows its own route.

Ukrainian Translation and Notarisation

Ukrainian universities and state offices work in Ukrainian. After the Apostille, documents are generally translated and the translator's signature is certified by a Ukrainian notary. Universities often handle this through their international office. If an office accepts a translation made in India, we can arrange it through our translation service.

Marriage and Family Papers

Some Indian citizens marry Ukrainian nationals or live in Ukraine with their families. A residence application or a marriage registration there may ask for an apostilled Indian birth certificate, marriage certificate or a certificate that you are free to marry. See our marriage certificate page. A single status affidavit is signed before a notary and then goes through the usual chain.

Trade Documents

India exports pharmaceuticals, machinery and food products to Ukraine. Buyers and regulators may want apostilled company documents, a free sale certificate or a certificate of origin. These start at a Chamber of Commerce. See our commercial documents service.

Keep the company name, address and product names the same on every paper. A buyer's bank may compare the invoice, packing list and certificate of origin line by line.

Documents We Commonly Apostille for Ukraine

  • Class 10 and 12 certificates and mark sheets for admission or transfer.
  • Birth certificates for students, spouses and children.
  • Marriage certificates for residence or registration.
  • Police clearance certificates for residence permits.
  • Powers of attorney so a relative or lawyer can act for you, signed before a notary in India first.
  • Degree certificates for professionals taking up jobs.

Each document gets its own Apostille. The MEA does not apostille a bundle as one paper.

Returning Students and Ukrainian Papers

Students who studied in Ukraine sometimes need their Ukrainian transcripts or certificates for use in India or a third country. Those are Ukrainian documents, so the Apostille must come from the Ukrainian authorities, not the MEA. We handle the Indian side only. If you need an Indian translation of a Ukrainian paper, we can arrange that.

Things to Avoid

  • Sending laminated originals.
  • Paying for a Ukrainian Embassy stamp. It is not needed for Apostille documents.
  • Different spellings of your name across documents.
  • Apostilling papers before you know which university will receive them.
