Death Certificate Apostille for Succession, Insurance and Pension Abroad
Families usually need a death certificate apostille when a relative leaves a bank account, policy, pension or property in another country. In India the certificate is issued by the local Registrar of Births and Deaths under the Registration of Births and Deaths Act, 1969, increasingly through the Civil Registration System (CRS). INFINITYGRO handles the SDM, state and MEA steps so the family can deal with the claim.

How do I get an Indian death certificate accepted abroad? Get the certificate from the Registrar of Births and Deaths where the death happened. For Hague countries, a death certificate apostille from the MEA, after SDM or state verification, makes it acceptable. For the UAE, Qatar or Kuwait, the MEA attests it and the embassy legalizes it. A translation may be needed for non-English offices.
Where a death certificate is needed outside India
The request almost always comes from an institution settling a person's affairs. Common cases are:
- Succession and inheritance: a court, notary or land registry abroad dealing with property or a will.
- Bank accounts: releasing funds held in the deceased person's name, or in a joint account.
- Life insurance: a claim on a policy taken out in the UK, USA, the Gulf or elsewhere.
- Pension: stopping a foreign pension, or claiming a survivor's or widow's pension.
- Employers: end-of-service dues for someone who worked in the Gulf.
- Civil records: updating a spouse's status before remarriage abroad.
Each of these offices wants proof that the Indian certificate is genuine. The legalization chain provides it.

How the death is registered in India
A death is registered where it happened, not where the person lived. If it happened in a hospital, the medical officer in charge reports it. If it happened at home, the head of the household or the nearest relative present reports it. The normal period is 21 days. A death reported later can still be registered under section 13 of the Act, with a fee and, after longer delays, further orders.
The Registrar then issues the certificate. Under section 12 the informant gets one copy free. Further copies are issued under section 17 for a fee. Order a few extra copies at the start. Foreign banks and insurers often keep the legalized copy, and you may need one for each claim.
CRS printouts and older handwritten certificates
Many states now issue certificates through the Civil Registration System run by the Registrar General of India. These are often printed from the portal and carry a registration number. Older certificates may be handwritten or typed by a municipal office with a rubber stamp.
Both can be legalized as long as the issuing registrar's details are clear. What matters is that the officer in the chain can confirm the issuing authority. A faded stamp, missing registration number or unsigned printout causes delays. If your copy is in poor shape, ask the registrar for a fresh certified copy before you send it.
The certificate should show the name exactly as on the deceased person's passport or other ID used abroad. If it differs, the claim office may also want an affidavit from a family member explaining the variation.

Death certificate apostille: the steps in order
- Check the certificate: names, date and place of death, registration number, registrar's seal.
- Authentication in India: on the Delhi route, notary and SDM verification. The state Home or General Administration Department route is used when the receiving office asks for it.
- MEA: the death certificate apostille is added in New Delhi. The MEA checks only the authenticating officer's signature, not the contents.
- Embassy, for non-Apostille countries only.
- Translation, if the office abroad works in another language. We arrange this through our translation service.
The MEA accepts documents only through its authorised outsourced centres. We submit on your behalf, so you do not need to visit Delhi.
Which countries want an Apostille and which want an embassy stamp
The UK, USA, Canada, Australia, most of Europe, Japan, South Korea, Saudi Arabia, Oman, Bahrain and Turkey accept the MEA Apostille. Vietnam joins from 11 September 2026. Read more on the MEA Apostille page.
The UAE needs MEA attestation, the UAE Embassy in New Delhi and then UAE MOFA, which is done online. Qatar, Kuwait, Egypt, Iraq, Jordan and similar countries need MEA attestation and then their embassy; see embassy attestation. China does not accept Indian Apostilles, and Germany does not legalize Indian documents at all. German offices may verify through their embassy instead.
Handling it when the family lives abroad
Often the person who needs the certificate is a son or daughter living in London, Toronto or Dubai, while the registration happened in a small town in India. You do not need to fly back for this. A relative in India can collect the certificate from the registrar and courier it to us. You email us the claim office's checklist and a copy of your passport.
We confirm the route, quote in writing and start once the original arrives. When the death certificate apostille or embassy stamp is done, we courier the document to the address you choose, in India or abroad. Courier charges are extra and depend on the destination.
Sending the certificate to INFINITYGRO

Delhi NCR families can drop documents at our New Ashok Nagar office. Others courier them; we return everything by Blue Dart or a similar tracked courier. On the Delhi route our all-inclusive fee is Rs 1,000 to Rs 1,500 per document, including the Rs 50 MEA fee. It usually takes 2 to 3 working days. Embassy fees are extra. Death Certificate apostille FAQs
The death happened abroad. Can you apostille that certificate?
No. A death registered abroad is certified by that country. The MEA legalizes only Indian documents. An Indian death certificate is needed only when the death happened in India.
Can a photocopy be apostilled?
No. The MEA does not legalize photocopies. Send the original or a fresh certified copy issued by the registrar.
The name on the certificate is spelt differently from the passport. What now?
Ask the registrar about correction under section 15 of the Act, or support the certificate with an affidavit from a close relative. The office abroad decides which it accepts.
Does a family member need to sign anything?
Usually not for the certificate itself. We need a copy of the applicant's passport for the MEA file.
Is there a time limit on using the death certificate apostille?
The Apostille does not expire. Some insurers or courts prefer a recently issued copy, so check their rules first.
The registration was delayed by years. Is that a problem?
A delayed registration is still valid if done under section 13. The certificate is legalized the same way. The office abroad may ask why it was late.
Do I need it in another language?
For Spain, France, Italy, the Gulf or Latin America, a translation is often needed. We arrange certified translation in most languages.
