GST Certificate Apostille and Attestation for Use Abroad

A GST certificate apostille lets a foreign buyer, bank or ministry accept your Indian GST registration as genuine. The certificate itself is Form GST REG-06, generated on the GST portal (gst.gov.in) after the tax department approves your registration. INFINITYGRO prepares the printout, takes it through a chamber of commerce and the Ministry of External Affairs, and adds embassy legalization where your destination needs it.

Quick answer

Can a GST certificate downloaded from the portal be apostilled? Yes, in most cases. The government does not issue a paper GST certificate, so the downloaded Form GST REG-06 is the document. For a GST certificate apostille, the printout is usually signed and stamped by the authorised signatory, notarised, authenticated by a recognised chamber of commerce and then apostilled by MEA. Embassy-route countries need MEA attestation and embassy legalization instead.

A certificate that exists only on the portal

Most documents we legalize start life as paper. The GST certificate does not. The GST welcome kit for new taxpayers states that the government does not issue any physical certificate. Every registered person downloads Form GST REG-06 from the GST portal after logging in.

That changes how the attestation chain begins. A notary, a chamber and MEA all need something they can stamp and sign. So the first job is to turn a portal PDF into a paper document that someone in your business has signed and taken responsibility for.

Download a fresh copy before you send it. If your address, partners or additional places of business have changed, the certificate should show the current details.

What Form GST REG-06 shows

The downloaded certificate normally has three parts. Foreign reviewers often check all of them, so print every page.

  • Page one: the GSTIN, legal and trade name, constitution of business, principal place of business and the date the registration became effective.
  • Annexure A: any additional places of business.
  • Annexure B: details of the proprietor, partners, directors or the person in charge.

A buyer in Riyadh or a tender committee in Muscat will compare the name and address here with your invoice, your IEC and your company letterhead. A mismatch is the most common reason for a query later. If the registration has been amended, the certificate you download today should already reflect the change.

Why overseas parties ask for it

A GSTIN tells a foreign party that your business is registered with Indian tax authorities and is trading openly. It is one of the simplest proofs of a real, operating supplier.

  • Importers and distributors adding a new Indian supplier to their vendor list.
  • Ministries and state buyers registering foreign suppliers for tenders.
  • Banks opening accounts or trade finance lines for an Indian exporter.
  • Free zone authorities and agents setting up a branch or distribution deal.

It is often requested in a bundle with the MSME certificate, the IEC and the certificate of incorporation.

Preparing the printout for attestation

Because there is no paper original, the printout has to carry a responsible signature. The usual preparation looks like this.

  1. Log in to gst.gov.in and download the certificate from View/Download Certificates.
  2. Print all pages on plain paper. Do not laminate.
  3. The authorised signatory signs and stamps each page with the business seal.
  4. A notary attests the signed copy where the chamber or destination requires it.

The person who signs should be the one shown in your records as authorised for the business. A copy signed by an accountant or a junior staff member is a frequent cause of rejection at the chamber stage.

Requirements vary by chamber and by embassy. We confirm the exact preparation for your destination in writing before you courier anything.

GST certificate apostille: the step-by-step route

For countries that are members of the Hague Apostille Convention, the GST certificate apostille follows the commercial document route.

  1. Notary: attests the signed printout where required.
  2. Chamber of Commerce: a recognised chamber such as FICCI, ASSOCHAM, PHD Chamber or the Delhi Chamber of Commerce authenticates it. Not every chamber handles every document type, so we choose one that accepts GST certificates.
  3. MEA Apostille: the CPV Division of the Ministry of External Affairs applies the apostille through its authorised outsourced centre.

MEA verifies the signature of the authenticating officer. It does not check whether your GST details are correct, so accuracy is your responsibility at step one. The MEA fee is Rs 50 per document. Read more on how MEA apostille works in India.

Embassy legalization, UAE, China and Germany

Countries outside the Apostille Convention need MEA normal attestation followed by legalization at their embassy in New Delhi.

  • UAE: chamber, MEA attestation, UAE Embassy, then UAE MOFA attestation inside the UAE. See UAE attestation fees.
  • Qatar, Kuwait, Egypt, Iraq, Jordan, Lebanon, Libya, Sudan, Yemen: chamber, MEA attestation, then the embassy.
  • China: red-sticker notary, chamber, MEA attestation, then the Chinese Embassy. India objected to China's accession, so an apostille is not used between the two countries.
  • Germany: German missions do not legalize Indian documents. A German authority may request verification through the German Embassy instead.

Embassies set their own fees, usually higher for commercial papers. Our embassy attestation service page explains the process.

What to send INFINITYGRO

  • The destination country and who will receive the document.
  • A company authorisation letter on letterhead if the embassy route applies.

Mistakes that slow GST certificates down

  • Printing only page one and leaving out the annexures.
  • Sending an old copy that shows a former address or partner.
  • A trade name on the certificate that differs from the name on invoices or the IEC.
  • Unsigned or unstamped printouts.
  • Choosing apostille for the UAE or Qatar, or embassy attestation for an Apostille country.

If the receiving party needs the certificate in Arabic, French or another language, we can arrange certified translation alongside the attestation.

Questions

GST Certificate apostille FAQs

Is the GST certificate a government original or a copy?

It is a portal-generated document. The government does not issue a paper certificate, so the downloaded and signed printout is what goes through attestation.

Who should sign the printout?

The authorised signatory of the business, with the company stamp. For a proprietorship that is usually the proprietor.

Does MEA check my GST registration status?

No. MEA verifies the signature of the officer who authenticated the document before it. Make sure the details are current before you start.

Is a GST certificate apostille accepted in Saudi Arabia?

Saudi Arabia is an Apostille country, so the apostille route is normally used. Your buyer may still ask for a translation.

My UAE partner wants the GST certificate. Is apostille enough?

No. The UAE uses the embassy route: chamber, MEA attestation, UAE Embassy, then MOFA in the UAE.

Can I send the GST certificate with other company documents?

Yes. It is common to legalize GST, IEC, MSME and incorporation papers together. Each document is quoted and fee-charged separately.

What does it cost?

The MEA apostille fee is Rs 50 per document. Chamber and embassy fees are separate. INFINITYGRO sends a written quote per document before you courier anything.
