Product List Apostille and Attestation for Registrations and Tenders
A product list apostille is usually requested when an Indian manufacturer registers with a foreign ministry, distributor or tender board. No government office in India issues a product list; your company prepares it on its own letterhead, and its authorised signatory signs it. INFINITYGRO takes that signed list through notary, Chamber of Commerce, MEA and, where required, the embassy in New Delhi.

MEA attestation stamp and Apostille sticker
What is needed to legalize a product list or price list from India? Prepare the product list or price list on company letterhead, signed and stamped by the authorised signatory. Have it notarised and authenticated by a recognised Chamber of Commerce. MEA then issues a product list apostille for Hague countries, or attestation for embassy countries, after which the UAE, Qatar, Kuwait or Chinese Embassy legalizes it. INFINITYGRO confirms the route in writing first.
Where a product list turns up in an overseas file
Foreign regulators and buyers often want to know everything a manufacturer makes, not just the item being bought. The UAE health ministry's service for registering a manufacturer of medical products, for example, asks for a list of all products the company deals with in its country of origin, along with a company licence and an authorisation letter.
Similar requests come from tender boards in the Gulf and Africa, from distributors registering an Indian brand, and from importers building a supplier file. The list may be called a product list, product catalogue, price list or schedule of rates. The legalization approach is the same.

Check whether legalization is really required
Not every file needs the product list legalized. On that same UAE ministry service, only the authorisation letter and the company licence must be attested by the UAE Embassy. The product list goes in as a plain company document. Tender conditions vary in the same way.
Read the buyer's checklist line by line. If it says "attested", "legalized" or "apostilled" against the product list, proceed. If not, you may save fees. When in doubt, ask the buyer in writing and keep their reply.
Drafting the list so it passes the chamber
- Use company letterhead with registered address and contact details.
- Add a clear heading, such as "Product List" or "Price List", the date, and the buyer or tender reference if there is one.
- List product names, codes, pack sizes or specifications, and prices with currency if a price list is asked for.
- Number every page and sign and stamp each one.
- End with the signatory's name and designation.
Keep brand names and product codes identical to those in your free sale certificate, GMP certificate or registration forms. Regulators compare them.

Printed catalogues and brochures
A glossy brochure is hard to legalize. It has no signature, and the chamber has nothing to authenticate. If the buyer wants the catalogue itself, attach it to a signed covering letter on letterhead that says the catalogue is a true list of your products, and sign or stamp each page. A notary can then attest the set.
A clean typed list is usually quicker. Send the brochure separately as an unlegalized reference unless the buyer insists.
Why a notary and a chamber come before MEA
MEA's CPV Division does not verify company papers directly. It confirms the signature and seal of an authenticating officer that it recognises. For a document your company wrote, a notary and a recognised Chamber of Commerce provide that link. In Delhi we work with FICCI, ASSOCHAM, PHD Chamber, the Delhi Chamber of Commerce and the Indian Chamber of Commerce, choosing one that accepts product lists for your destination.
MEA also does not take papers from walk-in applicants. Since July 2012 it receives documents only through authorised outsourced centres. INFINITYGRO handles that submission and the embassy visit for you, so your team does not need to travel to Delhi.
Product list apostille or embassy attestation by destination
India joined the Hague Apostille Convention on 14 July 2005, and 130 states are now parties. For Apostille countries, including Saudi Arabia, Oman, Bahrain, Turkey, Japan, South Korea, the UK, USA, Canada, Australia, most of Europe and, from 11 September 2026, Vietnam, the chain ends with an MEA Apostille. See our MEA Apostille guide.
The UAE needs MEA attestation, the UAE Embassy in New Delhi, and then UAE MOFA in the UAE. Qatar, Kuwait, Egypt, Iraq, Jordan, Lebanon, Libya, Sudan and Yemen use their embassies after MEA attestation. China requires a red-sticker notary, chamber, MEA attestation and the Chinese Embassy. Germany does not legalize Indian documents, so a German buyer's request needs a different approach.
Sending it to INFINITYGRO
- Signed and stamped product list originals, one per destination.
- The buyer's or tender's document checklist, so we match their wording.
- A covering letter on letterhead stating the country and purpose.
- Any other documents for the same file.
Delhi NCR clients can drop off at New Ashok Nagar. Other clients courier in, and we return by Blue Dart or another tracked courier. For an Arabic or French version, we arrange certified translation. Ask for a quote on the contact page.
What goes wrong
- Product names that differ from the names on the registration form or free sale certificate.
- An unsigned brochure sent for legalization.
- The list signed by a sales manager who is not an authorised signatory.
- Prices that change before the tender closes, forcing a new legalized list.
- A product list apostille obtained for a UAE ministry, which needed embassy attestation.
If prices may change, ask the buyer whether a legalized product list without prices plus a separate signed price quotation is acceptable.

Product List apostille FAQs
Does any Indian authority issue a product list?
No. It is a company document. Your company writes, signs and stamps it, and the legalization chain authenticates that signature.
Does MEA check the products or prices?
No. MEA checks only the authenticating officer's signature. Content is the company's responsibility.
Can I legalize a product list with 20 pages?
Yes. Number and sign every page. Chambers and embassies treat it as one document, though some embassies may charge differently for long documents. We confirm when quoting.
Is a product list apostille valid for Saudi Arabia?
Saudi Arabia is an Apostille country, so MEA's Apostille is the usual route. Confirm with the receiving body.
Can a distributor in India sign the list for the manufacturer?
The foreign party usually wants the manufacturer's own signature. Use your authorised signatory unless the buyer allows otherwise.
Should I include prices on the legalized list?
Only if the buyer or tender asks for a price list. Prices change, and a legalized list cannot be edited afterwards. Many exporters legalize the product list without prices and send a signed quotation separately, if the buyer accepts that.
What will it cost?
MEA charges Rs 50 per Apostille and nothing for normal attestation. Notary, chamber and embassy fees are extra. We give a per-document quote in writing before you send papers.
