Birth Certificate Apostille in Nagaland, Step by Step

For a birth certificate apostille in Nagaland, the certificate from that system must first be verified, in Delhi or by the Home Department in Kohima. The MEA then adds the apostille.

Who signs a birth certificate in Nagaland, and does that affect the apostille? In villages the registrar is often the Head Teacher of the local government primary school. In towns it is usually a Statistical Computor or Sub-Inspector of Economics and Statistics. Any of these signatures can be verified. A birth certificate apostille in Nagaland then follows the Delhi route or the Kohima Home Department route before the MEA.
Nagaland's registrars and who they are
The Directorate of Economics and Statistics has been the nodal department for birth and death registration in Nagaland since 1974. The Secretary of Economics and Statistics is the Chief Registrar. District Registrars and District Economics and Statistics Officers supervise the local registrars.
In rural areas, the Head Teacher of the government primary school serves as Registrar for the village. In urban areas, Statistical Computors or Sub-Inspectors of the department act as Registrars. Medical institutions have their own registrars from the same department. ASHAs and village figures such as Gaonburas report births to the village registrar.
Because the registrar in a village may be a school head teacher, the seal on your certificate may name the school or the village. That is normal. The verifying authority checks that the signature belongs to the designated Registrar for that area.

Delayed entries under Nagaland's procedure
The state's information department has set out the timelines registrars must follow. A birth reported within 21 days gets a certificate without fee. Between 21 and 30 days, it is registered after checking documents and a late fee. From 30 days to one year, an affidavit before a notary and a late fee are needed. After one year, the registration needs an order from a First Class Magistrate.
If your birth was registered without your name, ask the registrar who holds the record to add it. Then request a new extract before you send anything for apostille.
Registrars must also send monthly reports to the District Registrar and the District Economics and Statistics Officer. If your record is old, the district office may be able to trace it when the village registrar has changed.
Two paths for birth certificate apostille in Nagaland
Delhi route. A notary attests the certificate, the SDM in Delhi verifies it, and the MEA attaches the apostille. This usually takes 2 to 3 working days once the original reaches our office. It suits most foreign uses.
State route. The Home Department in Kohima, listed by the MEA as the designated authority for Nagaland, verifies the registrar's signature. The certificate then goes to the MEA. Choose this only if a foreign office specifically asks for state verification.

Before you send the certificate
- It is the original, not a photocopy or a scan printout.
- The child's name is entered.
- The registrar's signature and seal are clear.
- Both parents' names are spelt as in their passports.
- The paper is not laminated.
Add a passport copy and a short note on the destination country and purpose. If a name differs from the passport, an affidavit will be needed. Older handwritten certificates are often fine, but some foreign offices want a fresh computerised copy, so check with them first.
Pack the certificate flat in a stiff envelope, and keep a scan for yourself before posting.
Families in Kohima

Digital certificates and translation
The Registration of Births and Deaths (Amendment) Act, 2023 took effect on 1 October 2023. Under it, a digital birth certificate serves as a single proof of date of birth. Registrars across the country use the Civil Registration System of the Registrar General of India.

Where the apostilled certificate works
Families use it for a child's passport or visa abroad, school admission overseas, residence permits, citizenship by descent and OCI-related use in another country. It is accepted in Hague countries such as the UK, the USA, Canada, Australia, Saudi Arabia, Oman and Bahrain.
China and Germany are the main exceptions. For the UAE, Qatar, Kuwait or Egypt, the certificate needs MEA attestation and embassy legalization through our embassy attestation service.
The MEA confirms the verifying officer's signature only. It does not correct or check the entries on the certificate.
