Birth Certificate Apostille in West Bengal, Explained

Birth certificate apostille in West Bengal starts with a record from the state's Janma Mrityu Tathya system and the registrar who signed it. In July 2026 the state moved registrar duties away from panchayat pradhans and municipal chairpersons to government officials, with District Magistrates as District Registrars. INFINITYGRO verifies the certificate and takes it to the MEA.

Quick answer

My Kolkata birth certificate is in Bengali and English. Can it be apostilled for a residence permit? Yes. Birth certificate apostille in West Bengal works for bilingual certificates as long as the original carries a valid registrar signature. A notary and SDM in Delhi verify it, or the West Bengal Home (Foreigners and NRIs) department does, and the MEA adds the apostille. The receiving country may still ask for a certified translation of the Bengali portions.

The Janma Mrityu Tathya system

West Bengal runs its own birth and death information portal, Janma Mrityu Tathya. Registration units across the state record births on it, and the state publishes its annual vital statistics reports through the same system.

Most recent certificates from Kolkata and the districts are printed from this system and carry a registration number and a registrar's signature. That signature is the one a notary and SDM verify before the MEA.

The portal also lets families search for and download certificates where the registration unit has issued them online. If you cannot find your record, the registration unit named on the old certificate is the place to ask. Keep the registration number handy, as it is the quickest way to trace an entry.

Who is the registrar now

Until July 2026, many birth certificates in rural Bengal were signed in the name of the gram panchayat pradhan, and urban certificates in the name of the municipal chairperson. A state notification under the births and deaths law changed this. District Magistrates are now District Registrars, and government officers are being appointed as registrars for each gram panchayat and municipality.

DMs can also appoint officers such as Block Medical Officers of Health and hospital superintendents as registrars for births in institutions.

A certificate issued before the change is still a valid record. What matters for the apostille is that the signature on it can be verified.

The re-verification drive and old certificates

The state has also announced that certificates registered since 1997 will be checked again, including door-to-door checks, and that any found to be fake will be cancelled. Genuine certificates are not affected, but families planning to move abroad should keep the original safe and know which office issued it.

If a receiving office abroad asks for a fresh computerised copy, request one from the registration unit that holds the entry. A newer copy also tends to have clearer signatures and seals.

If a registrar or a verification team asks you for supporting papers, such as a hospital discharge slip or the parents' identity documents, keep copies of what you submit. A consulate may also ask for proof of birth beyond the certificate, and the same papers help there.

Birth certificate apostille in West Bengal: Delhi or Kolkata

Delhi route: Notary in Delhi, then the SDM, then the MEA's CPV Division through its authorised outsourced centre. You courier the original to us and we handle each step.

State route: The Home (Foreigners and NRIs) Department in Kolkata authenticates the certificate, and then it goes to the MEA. Choose this only when the receiving office asks for state attestation.

Kolkata birth records

In Kolkata, births are registered through the municipal corporation's registration units and the hospitals that report to them. A child born in a large private hospital in the city usually has a certificate printed with the hospital's registration unit details.

Kolkata clients courier the original to our Delhi office at C-5 A/2 New Ashok Nagar. After the apostille, the certificate travels back with Blue Dart or an equally reliable tracked service. If you are in Delhi NCR at the time, you may drop it off in person.

Families from Howrah, Hooghly, the North and South 24 Parganas and other districts send certificates the same way. The registrar named on each certificate is the office to approach if a correction or a new copy is needed.

Bengali entries and translation

Many West Bengal certificates print headings in Bengali and English, with names in both scripts. Consulates in non-English-speaking countries often ask for a certified translation. We arrange it through our translation service.

Check the English spelling of every name against the passport. Bengali names are often transliterated in different ways, and a single letter can cause a mismatch.

Late registration and blank name fields

Under the central Act, a birth registered after one year needs an order from an authorised magistrate. Since October 2023 that can be the District Magistrate, the SDM or an Executive Magistrate authorised by the DM.

If your child's name was not entered at registration, add it through the registrar and ask for a new certificate. A blank name field is a common reason for a visa officer to send papers back.

An Indian apostille will not be accepted in China or Germany. For the UAE, Qatar and Kuwait, use our embassy attestation service.

Preparing the envelope from Bengal

  • Original certificate, flat and unlaminated
  • Passport copy of the child, or of a parent for a newborn
  • Name of the destination country
  • Any magistrate order linked to a late entry
  • Your WhatsApp number

Each certificate is a separate apostille, so a family of four with four birth certificates pays for four documents. Write to us through our contact page or on WhatsApp at +91 85955 58517 before you post, and we will confirm the route.

Questions

West Bengal birth certificate apostille FAQs

Is my old pradhan-signed certificate still valid?

Yes. The 2026 change affects who signs new certificates. An older certificate with a verifiable signature can still be apostilled.

What is the fee for birth certificate apostille in West Bengal?

Our all-inclusive Delhi route charge is Rs 1,000 to Rs 1,500 per document, covering notary, SDM, the Rs 50 MEA fee and service. Courier is extra.

Can I use the state route in Kolkata instead?

Yes, through the Home (Foreigners and NRIs) Department. Most clients still prefer the Delhi route because we handle it end to end.

Will the MEA check whether my certificate is genuine?

The MEA verifies the authenticating officer's signature. It does not examine the content of the birth record.

My certificate is laminated. What can I do?

The MEA places the apostille on the back, which is not possible through lamination. Ask the registration unit for a fresh, unlaminated extract.
