How births are registered in Sikkim
Sikkim registers births through Registrars of Births and Deaths appointed by the state government. These registrars work at the state headquarters in Gangtok and at hospitals and Public Health Centres in the districts. In practice, the hospital or health centre where your child was born is usually where the entry was made.
The state has its own rules under the central Act, the Sikkim Registration of Births and Deaths Rules. They set the forms and procedures that registrars follow.
The registrar's signature on your certificate is what the apostille process verifies.
Applicants usually visit the registrar between 10 am and 4 pm with the prescribed form. Where a Common Service Centre is available, staff there can help with the application. If you live outside Sikkim now, a family member may be able to collect a fresh extract for you, subject to the registrar's own requirements.

Certificates from hospitals and health centres
Because many registrars in Sikkim sit inside hospitals and Public Health Centres, the certificate may carry the name of a health institution rather than a municipal office. That is normal. The MEA's concern is whether the authenticating signature can be verified, not which kind of office issued the record.
Families from remote villages in North or West Sikkim sometimes hold older handwritten certificates. If a foreign office asks for a computerised copy, request a fresh extract from the registrar who holds the original register.
Before you courier anything, compare the certificate with the hospital discharge papers. The date of birth, the place of birth and the parents' names should agree. If they do not, correct the record with the registrar first. An apostille on a certificate with an error only carries that error abroad.

Gangtok families
Gangtok is home to the state headquarters registration office, and the Gangtok Municipal Corporation serves the urban area. Children born in Gangtok's hospitals are registered with the registrar for that hospital or area.
Gangtok families courier the original to Delhi, and we send it back once the apostille is done. We do not collect from homes. Families in Namchi, Gyalshing and Mangan follow the same process.
Courier services from Gangtok to Delhi are reliable, but the hill roads can add time during the monsoon. Allow for that if you have a fixed visa appointment. Tell us your deadline when you send the certificate so we can plan the return courier.
Delayed registration and missing names
Under the central Act, a birth should be reported within 21 days. Registration after one year needs an order from an authorised magistrate. The 2023 amendment allows the District Magistrate, the SDM or an Executive Magistrate authorised by the DM to pass that order.
If the child's name was left blank, add it through the registrar and collect a new certificate. Visa offices commonly reject certificates without a name.
Keep the magistrate's order or any affidavit together with the certificate. A consulate may ask how a late entry was made.
Language and spelling on Sikkim certificates
Most Sikkim certificates are in English, which makes them easier to use abroad. If yours includes text in Nepali or another language, a certified translation may be requested. Our team can organise that through the translation desk.
Check the spelling of every name against the passport, including the parents' names. A mismatch is the most common reason for a second round of paperwork.
Uses abroad and countries that need another process
Parents use the apostilled certificate for a child's passport or visa abroad, school admission, residence permits and citizenship by descent. It is accepted in Hague member countries, such as the UK, USA, Canada, Australia and most of Europe.
