Birth Certificate Apostille in Gujarat for Families Moving Abroad

A birth certificate apostille in Gujarat starts with the certificate your local registrar issued, whether that was an e-Gram centre at the gram panchayat or a municipal office in a city. INFINITYGRO checks the document, arranges translation where needed and takes it through attestation to the Ministry of External Affairs. You send it by courier and we return it by tracked courier.

Quick answer

Can a birth certificate issued by a Gujarat gram panchayat be apostilled? Yes. A panchayat or municipal certificate qualifies for birth certificate apostille in Gujarat once it is an original issued by the registrar of births and deaths. It is notarised and attested by an SDM in Delhi, or by the General Administration Department in Gandhinagar, and then the MEA adds the apostille sticker. Gujarati text usually needs a certified English translation.

Where a Gujarat Birth Is Registered

The Registration of Births and Deaths Act, 1969 says a birth is registered where it happens. District portals in Gujarat, such as those of Narmada and Kheda, explain that the e-Gram centre at each gram panchayat or the municipality office registers events in its own area. So a child born in a Surat hospital is registered in Surat, even if the family lives in another district.

The same district pages point citizens to the state service at eolakh.gujarat.gov.in for certificates. Keep the registration number and the name of the registration unit handy. Both help if the receiving office abroad asks for a fresh or computerised copy.

What to Check on the Certificate First

MEA places the apostille on originals only. A photocopy, even a notarised one, will be refused. Before you courier anything, look at four points.

  • The registrar's signature and seal are clear and complete.
  • The child's name is printed. A blank name field must be filled through the registrar first.
  • The parents' names match their passports. If they do not, an affidavit may be needed.
  • The paper is not laminated, because the back of a laminated sheet cannot take a stamp.

An old handwritten extract is still valid in India. Some foreign offices, though, prefer a computerised copy, so ask them early.

Certificates Printed in Gujarati

Many Gujarat certificates carry Gujarati text, sometimes with English beside it. Schools, embassies and immigration offices abroad generally want an English version they can read, and some countries want their own language. INFINITYGRO arranges certified translation in all major languages. The translation is a separate document, so ask the receiving office whether it also needs its own apostille.

Translation details are on our translation service section.

Birth Certificate Apostille in Gujarat: Two Routes

Delhi route. The original is notarised, attested by an SDM in Delhi and sent to the MEA for the apostille. This route is accepted for personal documents from any state and usually takes 2 to 3 working days. INFINITYGRO charges Rs 1,000 to Rs 1,500 per document all inclusive, with courier extra.

State route. The certificate goes to the General Administration Department in Gandhinagar, which is the MEA's listed authority for Gujarat, and then to the MEA. Choose this only if the receiving office specifically wants state attestation.

The MEA apostille page explains what the sticker covers.

Ahmedabad, Surat, Vadodara and Gandhinagar Families

Most of our Gujarat clients live in four cities. In Ahmedabad and Surat, certificates usually come from the municipal corporation's birth and death registration office. Vadodara families often hold certificates from the corporation or from hospitals that report births to it. Gandhinagar residents may have certificates from the municipal corporation or from nearby village panchayats.

Wherever you are, the process with us is the same. Pack the original in a stiff envelope, add a passport copy of the person named, and courier it to our New Ashok Nagar office in Delhi. We do not offer home pickup. The finished certificate comes back by Blue Dart or a similar tracked courier.

Why Families Need It

Gujarat has a large overseas community, and the birth certificate is often the first document a new country asks for. Common reasons include:

  • A child's passport, visa or residence permit abroad
  • School admission in the UK, USA, Canada or Australia
  • Citizenship by descent claims
  • OCI-related use at a foreign office

Countries outside the Hague Convention, such as the UAE, Qatar and Kuwait, want MEA attestation and embassy legalization instead. See our embassy attestation service for those.

Late Registration and Adding a Name

Births should be reported within 21 days. A later registration is still possible under Section 13 of the Act, with the prescribed fee and the permissions that apply. If the certificate was issued without the child's name, the Registrar General's guidance says the name can be added free within 12 months and with a fee up to 15 years from registration. Finish these corrections at the registrar's office before the apostille, because MEA will not alter any entry.

Corrections to spelling or a parent's name are made by the same registrar, under Section 15 of the Act. The Gujarat High Court has noted that the registrar has this power. Bring proof of the correct details when you apply.

Your Courier Packet

A complete packet saves a second round of courier. Put the following in one envelope:

  • The original birth certificate, flat and unfolded
  • A copy of the passport of the person named on it
  • Parents' passport copies if their names appear differently
  • A short note with your phone number, the destination country and the purpose

For a birth certificate apostille in Gujarat on the state route, add an authority letter if we ask for one. We tell you on WhatsApp the day the packet arrives, and again when it leaves for the MEA. If a fresh copy from the registrar is needed, we explain why before any work starts, so you only pay for what moves forward.

Questions

Gujarat birth certificate apostille FAQs

Does Germany accept an Indian apostille on a birth certificate?

No. Germany objected to India's accession and verifies Indian documents through its embassy. China also does not accept the Indian apostille.

Can I send a certificate downloaded from the state portal?

Send us a printed copy that carries the registrar's digital signature details. We will check whether it can go forward or whether a fresh certified copy from the registrar is safer.

Do I need to come to Delhi?

No. Clients from Gujarat courier the original to us. Delhi NCR clients may drop it off at the office.

Is each sibling's certificate a separate apostille?

Yes. Every document gets its own apostille, so two children's certificates mean two stickers and two MEA fees.

What does the apostille prove?

It confirms the signature of the officer who authenticated the document. It does not confirm the details printed on the certificate.

Can the apostille be removed or redone later?

The sticker stays on the certificate once placed. If you need a second apostilled copy for another country, get another original or certified copy from the registrar and send that.
