Getting a Birth Certificate Apostille in Jharkhand
A birth certificate apostille in Jharkhand verifies a certificate registered under the Jharkhand Registration of Births and Deaths Rules, 2009, framed by the state's Planning and Development Department. Local registrars at municipal bodies, blocks and hospitals sign the certificate. INFINITYGRO takes it from there to the MEA in Delhi.

My son was born in Ranchi. What do I need for his birth certificate to be accepted abroad? You need the original certificate issued by the registrar in Ranchi, with his name filled in. For birth certificate apostille in Jharkhand, we have it verified by a notary and SDM in Delhi, or by the HRD or Home department in Ranchi, and the MEA then adds the apostille. Send a passport copy along with the original.
What the 2009 Jharkhand rules say
The central Act of 1969 is the base law. Jharkhand fills in the detail through its own rules of 2009. They set out the forms, the time limits and who can grant permission for a delayed entry.
- A birth must be reported to the registrar within 21 days.
- Registrars send monthly returns to the Chief Registrar or an officer he designates.
- Birth registers are permanent records and are not destroyed.
That last point helps families with old records. If you lost a certificate from years ago, the registrar can still issue a fresh extract from the register.
The rules also fix the forms used. The extract you receive is issued on Form No. 5, and a search that finds no entry leads to a non-availability certificate on Form No. 10. A non-availability certificate is a different document and is not a substitute for a birth certificate abroad, though some offices accept it alongside other proof.

If the birth was registered late
The state rules work as a ladder. A birth reported after 21 days but within 30 days is registered with a small late fee. Between 30 days and one year, written permission is needed from the prescribed officer, who is the District Statistical Officer or the Block Development Officer.
After one year, a magistrate's order is required. Since the 2023 amendment to the central Act, this order can be passed by the District Magistrate, the SDM or an Executive Magistrate authorised by the DM.
Keep the permission letter or order safe. Some consulates ask about late entries, and the paper trail answers the question quickly.
Adding your child's name
Jharkhand allows a birth to be registered without a name. Parents then give the name to the registrar within 12 months. After that, the rules allow a late submission on a fee, up to 15 years from the relevant date.
For use abroad, the certificate must show the name. Get the name entered first, then ask for a new extract. Only then send it to us for the apostille.
Parents sometimes register the birth in one town and then move to another. The name must still be added by the registrar who holds the original entry, not by the office in your new town. If you are now outside Jharkhand, a relative in the original town can often help with the visit, or you can write to the registrar. Once the corrected extract is in hand, the rest of the work can be done from Delhi.
Birth certificate apostille in Jharkhand by courier
- Courier the original certificate and a passport copy to our Delhi office.
- A notary in Delhi verifies it, and the SDM countersigns.
- The MEA's CPV Division adds the apostille through its authorised outsourced centre.
- The apostilled certificate travels back to you by Blue Dart or a comparable tracked service.
The state route is the other option. The document goes first to the designated officers in Ranchi (HRD, or Deputy Secretary Home), then to the MEA. It is useful when a foreign office asks for state attestation. Our birth certificate apostille guide compares the two.
Ranchi and Jamshedpur records
Ranchi: Births in the city are registered through the Ranchi Municipal Corporation's registration units and the hospitals that report to them. Ask the corporation office for a computerised copy if yours is old.
Jamshedpur: Records here may come from the urban local bodies in East Singhbhum or from hospital registration units. The registrar named on the certificate is the office to contact for corrections.
Both cities send originals to us by courier. Pickup from your home is not part of our service.
A short checklist
- Original certificate, not a photocopy
- Not laminated
- Name of child and parents spelt as in passports
- Registrar's seal and signature legible
- Country of use noted on your covering message
If the certificate is in Hindi, or has handwritten entries, a certified translation may be needed. We arrange this through our translation team.
Write your phone number and email on a slip inside the envelope. If anything on the certificate needs attention, we contact you before the document goes to the notary, which avoids wasted fees.
Before you choose a route, check the country
The apostille works for Hague member countries, such as the UK, USA, Canada and Australia, and most of Europe. It is not valid for China or Germany. The UAE, Qatar, Kuwait and Egypt need MEA attestation followed by embassy legalization, which we handle through our embassy attestation service.
Typical uses are a child's passport or visa, school admission, residence permits and citizenship by descent.
Families who plan to settle abroad often need the certificates of both children and both parents. List all of them when you contact us, so we can plan one courier each way.
